Workflow
Every item that waits on a person, on one live board.
Orders, overrides, rule sign-offs, violations, held data, access reviews and exceptions move through one workflow engine. Firms write workflow rules - who approves, which desk, how fast - and a live monitor shows what is stuck, why, and what will breach its SLA next. Workflow rules decide; the AI drafts, explains and predicts, and never moves an item.
Workflow rules, governed
- Conditions on the item - account, group, rule package, asset class, sector, country, side, size in shares, dollars, % of the account or % of daily volume, the compliance result, AI or manual origin, time of day and session, the requester's role - and actions: approvals, routing, assignment, priority, SLA and escalation, notification.
- Several approvers by role or by name, with four eyes always: the requester never approves, nobody approves twice. Auto-approval below a threshold never applies to anything compliance marked hard, nor to AI-originated items above the firm's limit.
- Rules are versioned with effective dates. A test bench replays the last days of items and shows what would be routed differently; an Admin signs every change, and Compliance too when a change weakens an approval.
Desks, queues and SLAs
- Desks with members and a head; items assigned round-robin or to the least-loaded member who is on desk. Going off desk re-routes your open items.
- SLA timers in business hours on the firm's calendars (or around the clock), with escalation chains: after 15 minutes the desk head, after 30 the Admins - by notification in the app and email.
The monitor
- A live board of everything in flight, as a dense table or by stage, with filters and saved views. Claim, release, reassign, escalate and comment - each checked against your role and logged. Approving still happens on the item's own screen.
- "My work": what waits on me, what I requested, what I watch. Bottlenecks: items per stage, average and 90th-percentile time per stage, SLA breaches and the busiest approvers over today, 7 or 30 days.
- Operations and Compliance see the whole firm; Traders and Portfolio Managers their desks and their own items; a Viewer only reads.
AI
Where the AI helps
- Turns a sentence ("Orders over $1M in the Growth accounts need PM and Compliance approval, and must be released within 30 minutes") into a structured rule; code writes the restatement that is signed off.
- Writes the monitor brief and "why is this stuck?" from facts computed by code, including SLA breach predictions from stage timings.
- Plans monitor actions from a sentence - "reassign everything waiting on Sam to Alex", "escalate items breaching in the next 10 minutes" - previewed and confirmed; it never approves.
- Suggests reassignments and rules from patterns ("most small overrides are approved within a minute") - as proposals a person applies or drafts.
Deterministic
What decides
- Routing, approvals, assignment and SLAs are decided by the firm's signed-off workflow rules, evaluated in priority order.
- The default rules reproduce the firm's approval thresholds, so nothing changes until the firm edits them.
- Paper trading only: workflow moves simulated orders; Vestoris connects to no broker.
